Lotus Notes Connector for Oracle Content
DB and Oracle Records DB
The Lotus Notes/Domino
connector for Oracle Content DB and Oracle Records DB from SmartWave
is a solution to capture email content from Lotus/ Domino and
store it in Oracle Content Management Systems.
Email vehicles many
contractual or strategic documents, but mail inbox and personal
folders cannot be considered as long-term repositories for
corporate content. In fact Content Management systems offer
the rich functional set required: categorization, filing
by
content type, access rights, retention policy, sophisticated
search on metadata and full-text, easy consultation. SmartWave,
who masters both email and CMS technologies, has designed this
first connector to bridge the gap between the two systems.
Objectives
To capture email data from Lotus Notes in a non intrusive
way
To provide automatic capture plus indexing options
To store and manage email data like any other content in a
DMS
To share email content in a secured way
To search email data using metadata and full text content
To manage compliance: security, archival, retention policy and
disposal
Implementation
The user is working with its usual and well known Notes interface
There is no modification of the Notes mail template
On the technical side, Smartwave has developed an API to
access Oracle Content DB technical objects. It reduces
drastically the
programming
and
integration
efforts.
The solution supports:
Automatic filing: the user selects emails to be copied, and they
are transformed and stored automatically in Oracle Content DB,
based on email basic attributes (e.g. originator, date, subject…)
Manual
filing: the user selects emails to be copied, and he can specify
additional attributes that will be transferred to Oracle Content
DB to file emails, and to enrich the search capability
Benefits
Enrich
CMS content with key email data
Use rich Oracle Content
DB functions: security based on access roles, powerful search on
metadata and / or full text content, content structuring
Manage compliance with regulations
Provide efficient services (automatic
filing) with the possibility to enforce attributes/metadata provisioning
Optimize mail storage
